3. How we use your information

Enquiries, orders and services

We use your information to respond to questions, identify suitable products or parts, prepare quotations, process orders, arrange delivery, provide installation, servicing, repairs, maintenance and after-sales support.

Where you are our customer, this processing is necessary to enter into or perform a contract with you. If you contact us on behalf of a business, we may rely on our legitimate interest in communicating with that business and providing its requested goods or services

Customer accounts

Where customer accounts are available, we use account information to create and administer your account, allow access to previous orders, maintain account preferences, help with future purchases and protect accounts from unauthorised access.

You are responsible for keeping your password and account credentials confidential. Please tell us promptly if you believe someone has accessed your account without permission.

Invoicing and legal obligations

We use relevant information to issue invoices, maintain accounting records, record payments, meet tax obligations and comply with other legal requirements.

Our legal basis is compliance with legal obligations and, where applicable, performance of a contract with you.

Checkout, payments and delivery

When you place an order through our website, we use your information to:

  • Process and fulfil the order.

  • Take or confirm payment.

  • Arrange delivery or collection.

  • Send order confirmations, invoices and delivery updates.

  • Respond to questions about your purchase.

  • Prevent fraud, misuse and unauthorised transactions.

  • Maintain business, financial and accounting records.

Order confirmations, invoices, delivery updates and replies to enquiries are operational communications. They are not marketing communications.

Security and resolving problems

We use relevant information to maintain website security, prevent fraud or misuse, investigate problems, manage complaints and establish, exercise or defend legal claims.

We rely on our legitimate interests in protecting our business, website and customers, subject to your rights, and on legal obligations where applicable.

Website measurement and embedded services

Our website may use Google tagging (including Google Ads conversion measurement) and embedded YouTube content. These technologies can process online identifiers, IP address, browser and device information, pages visited and information about visits to our website.

Optional analytics and similar technologies will be used only where legally required consent has been obtained through our cookie-consent controls.

4. Payments

Our website may use payment integrations including Stripe (card payments, Apple Pay, Google Pay and Link), Klarna (a pay-later option offered through Stripe) and WooPayments.

Payment providers process information required to authorise and complete payments, prevent fraud, meet legal requirements and maintain transaction records. We generally do not receive or store your complete payment-card number or card security code. We may receive information such as payment status, transaction references, payment method type and limited payment details needed to manage orders and reconcile payments.

Payment providers may process personal information under their own privacy policies and may act as independent controllers for some processing:

You should review the relevant provider’s privacy notice when using its payment service.

5. Invoicing through Zoho Books

We use Zoho Books to issue invoices and maintain accounting records.

Relevant information transferred to Zoho Books may include customer or business details, billing information, contact details, products or services ordered, invoice details, payment status and transaction references.

Zoho processes information in accordance with its own privacy notice:

6. Contact forms and other forms

When you submit information through a form on our website, we use it to respond to your request and provide the relevant product or service.

Depending on the form, we may collect your name, business name, email address, telephone number, message, delivery or installation address, product details, photographs and other information you choose to provide.

We may retain form submissions for as long as reasonably necessary to:

  • Respond to your request.

  • Provide a quotation or service.

  • Maintain customer and business records.

  • Handle complaints or disputes.

  • Demonstrate how a request was dealt with.

  • Comply with legal and accounting obligations.

We do not use form information for unrelated marketing unless we have a lawful basis to do so.

7. Cookies, statistics and embedded content

Our website uses cookies and similar technologies. These may support:

  • Shopping baskets and checkout functionality.

  • Customer-account login and session management.

  • Website security and fraud prevention.

  • User preferences.

  • Website performance and measurement.

  • Embedded media and other website features.

Strictly necessary cookies

Strictly necessary cookies may be used without consent where they are required to provide a service you have requested, such as keeping items in a basket, maintaining a logged-in account, processing checkout or protecting the website.

Analytics and measurement

We may use website measurement technologies, including Google tagging and Google Ads conversion measurement. These technologies may process information such as IP address, browser and device information, online identifiers, pages visited and information about how visitors use the website.

Where required by law, non-essential analytics cookies and similar technologies will only be used after you provide consent. You can manage optional cookies through the cookie settings or consent controls displayed on the website.

YouTube and embedded content

Our website may embed videos or other content from YouTube. When embedded content loads or is interacted with, YouTube or its providers may process information about your device, browser, IP address, viewing activity and the page containing the embedded content.

Where technically available, we may use privacy-enhanced or consent-based settings for embedded videos. However, third-party embedded content may still be subject to the provider’s own privacy practices.

We share personal information only where necessary for the purposes described in this policy.

Recipients may include:

  • Couriers and transport providers, to arrange deliveries. We may share your name, delivery address, contact details and shipment information.

  • Stripe, Klarna and other payment providers, to authorise, process and reconcile payments and prevent fraud.

  • WooPayments or Automattic, where used to provide payment, checkout or related website services.

  • Zoho Books, for invoicing, accounting and payment records.

  • Hostinger and website-support providers, for hosting, maintenance, security and technical support.

  • Relevant technology providers, where their services are used for website functionality, communications, statistics, cookies, security or embedded content.

  • Professional advisers, including accountants, insurers and legal advisers where necessary.

  • Public authorities, courts, regulators or law-enforcement bodies where disclosure is legally required or necessary to protect our rights.

We aim to limit information shared with providers to what is necessary for the relevant purpose. Service providers may process information on our behalf or, in some cases, act as independent controllers under their own privacy notices.

9. Marketing

We do not currently send newsletters, promotional emails or abandoned-basket marketing reminders.

If we introduce electronic marketing, we will provide appropriate information and establish a lawful basis before sending it. Where consent is required, we will request it separately.

Marketing messages will include a way to unsubscribe. You may also contact info@firparkds.ie to object to direct marketing.

Order confirmations, invoices, delivery updates and replies to enquiries are operational communications and are separate from marketing.

9. Legal bases for processing

Depending on the circumstances, we process personal information on the following legal bases:

  • Contract: to process orders, provide products or services, manage accounts and arrange delivery.

  • Pre-contract steps: to answer enquiries and prepare quotations.

  • Legal obligation: to issue invoices, maintain accounting records, meet tax requirements and respond to lawful requests.

  • Legitimate interests: to operate and secure our website, communicate with business customers, prevent fraud, resolve complaints and establish or defend legal claims.

  • Consent: for optional cookies, analytics, certain embedded content or marketing where consent is required.

Where we rely on consent, you may withdraw it at any time. Withdrawal does not affect processing carried out before consent was withdrawn.

11. International transfers

Some service providers may process personal information outside the European Economic Area.

Where this occurs, transfers will use an applicable lawful mechanism, such as:

  • An adequacy decision.

  • Standard contractual clauses.

  • Other appropriate safeguards recognised under applicable data-protection law.

Further information may be available in the relevant provider’s privacy notice.

12. How long we retain information

We retain personal information only for as long as reasonably necessary for the relevant business purpose, legal requirements, accounting obligations, dispute handling and security needs.

Our general retention approach is:

  • Invoices and supporting tax or accounting records: normally six years, or longer where a legal requirement or unresolved matter requires it.

  • Enquiries that do not result in an order: normally 12 months after the last substantive correspondence.

  • Inactive customer accounts: reviewed after 24 months of inactivity, with unnecessary information removed where appropriate.

  • Installation, servicing, warranty and complaint records: retained while needed for the relevant service relationship, warranty, dispute or legal-claim period.

  • Routine security logs: normally 90 days, unless needed to investigate an incident or meet a legal requirement.

  • Routine website backups: generally retained on a rolling 30-day basis, subject to the backup provider’s deletion process.

  • Privacy requests and consent records: retained for as long as reasonably necessary to demonstrate how requests and preferences were handled.

Deletion from live systems may occur before deletion from backups. Backup copies should remain protected and should not be used for routine business activity.

13. Your rights

Depending on the circumstances, you may have the right to:

  • Request access to your personal information and a copy of it.

  • Ask us to correct inaccurate or incomplete information.

  • Request deletion of your information.

  • Request restriction of processing.

  • Request portability of certain information.

  • Object to processing based on legitimate interests.

  • Object to direct marketing.

  • Withdraw consent where processing relies on consent.

  • Complain to a data-protection supervisory authority.

Some rights are subject to legal conditions and exemptions. For example, we may need to retain invoices and accounting records even if you request deletion of your account.

To exercise your rights, contact info@firparkds.ie. We may request information reasonably necessary to confirm your identity.

We normally respond within one month. Where a permitted extension is necessary, we will explain the reason within that initial period.

14. Complaints

If you have concerns about how we handle your personal information, please contact us first:

Email: info@firparkds.ie
Telephone: 085 873 7472
Address: Firpark, Borrisokane, Co. Tipperary, E45 EY94, Ireland

You also have the right to complain to the Irish Data Protection Commission or another competent supervisory authority.

The Irish supervisory authority is:

Data Protection Commission

You do not need to contact us before making a complaint to the Commission.

15. Required information and automated decisions

Some information is required to fulfil an order or service request. For example, we cannot arrange delivery without a delivery address, and we may not be able to process payment without the information required by the payment provider.

Where information is optional, we will identify this where reasonably possible.

Payment providers may use automated fraud-detection and security checks under their own privacy notices. We do not generally make decisions about customers based solely on automated processing that produce legal or similarly significant effects. If this changes, we will provide additional information where required.

16. Security

We take appropriate technical and organisational measures to protect personal information against unauthorised access, loss, misuse, alteration or disclosure.

Access is limited to people and providers who need the information for their work. However, no website, email service or communication system can be guaranteed completely secure.

Please keep account credentials confidential and contact us promptly if you suspect unauthorised access or a security incident.

17. Changes to this policy

We may update this Privacy Policy when our services, website technologies, payment integrations, processing activities or legal obligations change.

The date at the top identifies the latest version. Where required, we will provide additional notice of significant changes or obtain consent before introducing new processing.
